What is ApartmentMLS.com and how does it work?
ApartmentMLS.com is the first true multiple listing service of available apartment units. Our data is gathered directly from the subscribing apartment communities’ databases via our proprietary interface. ApartmentMLS.com updates listings daily. ApartmentMLS.com offers you the ability to instantly access current availability, lease rates, specials, base commissions and much more! In addition, ApartmentMLS.com tracks all of your leases for you. If your client visits or leases at a subscribing property, you will be alerted.
You and your clients will have access to stunning visuals of online, private-labeled brochures that can be easily shown in the office or emailed directly to clients. Just imagine, photos, 360° virtual tours, and detailed amenities with exclusive private labeling of your company's logo. Agents can quickly display complete lists of available units based on your client’s needs and wishes. The result is a snapshot of important information such as beds and baths, square footage, rent amount and availability. 1 A percentage of collected monthly subscription revenue is pooled for cooperative advertising. Subscriber has 3 options for using the earned credit and has up to 15 months to spend the credit.
Rates shown above do not include any applicable sales tax. You will be charged the applicable sales tax in addition to the monthly rate for the level of service you have selected. Prices are subject to change at any time. All users will be notified 30 days prior to any price changes. After notification of a price change, the user’s credit card will automatically be charged the new rate for the elected service plan the following month.
Users electing to cancel their service may do so by contacting us via email at service@ApartmentMLS.com.
PLEASE NOTE: Account fees are not pro-rated after you have paid the full amount in advance for the next month.
For example, if your fees are due on the 30th of the month for the following month’s service, you will be charged on the 30th and no refund will be given even if you subsequently cancel during that following month. If you choose to cancel at any time during that subsequent month, you will not receive a refund for the un-expired portion of that month.
Does ApartmentMLS.com sell leads to locators?
ApartmentMLS.com assists locators in generating leads through a cooperative marketing program. A percentage of each month’s subscription revenue is pooled together and may be used to purchase advertisements to help generate leads.
When will I be charged?
Generally, your credit card will be charged each month on the same date you initially created your account. However, if your account was initially created on the 29th, 30th, or 31st of a month, and the month in which your credit card is being charged is shorter, your card will be charged on the last day of the month.
How does ApartmentMLS.com track my client's visits and leases?
ApartmentMLS.com collects information including visitor and lessee names daily from subscribing apartment communities. Each time one of your registered clients visits or leases at one of our subscribing properties you will be automatically notified.
Can I put my own company or personal logo on the system?
Yes. Our Service Plan features a complete private-labeled system branded with your logo. All emails, faxes, and printed brochures sent to your clients are branded with your logo. All in-office leasing tools are branded with your logo, including all Online Brochures.
Can I use my existing email address?
Yes. Simply enter your email address upon sign-up. You may change the email address in your account at any time by clicking on the "My Email" tab.
What is a client conflict search?
A client conflict search allows you to search by the first and last of name of a client to look for any possible conflicts of interest. This is a list of active clients already registered with another locator. Any matching client names represent possible conflicts of interest. NOTE: ApartmentMLS.com is not responsible for any duplicate registrations. It is your responsibility to ensure client loyalty.
Can I still register a client if a conflict of interest is found?
Yes. However, we suggest you do so knowing that this client may still be an active client working with another locator using our system. We will not be responsible for any commission disputes that arise from duplicate registrations or inaccurate reporting of referral sources.
How long does an active client file remain in my account?
All client files expire 90 days from the date activated, after which they are moved to in-active status. You are given 3 days notice before the file actually expires. To renew the file you must perform a new search and send the results to that client.
Is the ApartmentMLS.com. Web site secure?
Yes. This Web site takes every precaution to protect our users' information. When you submit sensitive information via the Web site, your information is protected both online and off-line. When our registration/order form asks you to enter sensitive information (such as credit card number and expiration date), that information is encrypted and is protected with the best encryption software in the industry - SSL. While on a secure page, such as our order form, the lock icon on the bottom of Web browsers such as Netscape Navigator and Microsoft Internet Explorer becomes locked, as opposed to un-locked, or open, when users are just 'surfing'.
I can’t remember my password! What do I do?
When you go to log in, simply click on "Forgot Your Password?" This takes you to a page where you type in your user name, license #, and answer to a security question. Once all the information is provided to us we will email your current password to you.
I can’t remember my user name! What do I do?
If you have forgotten your user name you will need to Contact Us immediately. You will need to provide us with your first and last name, as well as your license number and the answer to the security question in order to receive your user name.
How do I add my company/ personal logo?
You can add your personal logo to every page of the ApartmentMLS.com system simply by sending us your logo image.. Once you have entered a valid credit card you will be taken to a page that allows you to upload your personal/ company logo directly from your computer. Please up to 48 hours for your logo to appear.
How do I update my credit card or personal account information?
You can update your account at any time by selecting "My Account" from the Menu Bar at the top of each screen. Click on "Agent Information" and scroll down to "Payment Information". Click on "Update Payment Information" and enter any changes you have and then click "Save".
You may also update you personal info clicking on "My Account" and then "Agent Information". Simply enter any changes in the test boxes that appear under that menu item.
How do I add a New Client?
To add a new client to the system simply log into ApartmentMLS.com and click the "New Client" button that appears in the Main Menu at the top of each page. Only the First and Last Name of the client is required. All other fields are for your benefit only.
How do I perform a search?
Once you have added a new client to your account you will automatically be taken to the search steps. Complete the steps and click "Search Now" to display the results.
How do I know if a client has visited or leased at a subscribing property?
When you log into your account using your user name and password you are immediately taken to the "Welcome" screen. Any "New Lease Alerts" or New Community Visits" will be displayed here. Simply click on the button that says "Click Here to View" for the account statistic you wish to view.
How do I cancel my account?
Please submit your cancellation request by email. Cancellations will not be accepted by telephone. This way your request can be tracked and verified. Simply email service@ApartmentMLS.com and ask that your account be cancelled. Be sure to include your ApartmentMLS.com user name so that your account can be located and cancelled.

Troubleshooting - What do I do?
I cannot login, even though I remember my password! What do I do? The answer to this depends on what is happening. Do you get an error message or does it just pop back to the login page? If it pops back to the login page with an error message, then you are entering the wrong user name and/or password (see the question above). If it pops back to the login page without an error message, then it is a problem with cookies not being able to be set. This is most likely because cookies are not enabled in your Web browser.
If it is a cookie problem, you just need to set your browser to accept cookies by following the steps outlined below (or something similar, depending on the browser you use):
While in your browser, click on "Tools" menu at the top of your browser window.
Go to "Internet Options".
Go to the "Security" tab then click on "Custom Level" and check for cookie options. Set your options to enable cookies.
Go to the "Advanced" tab and check for any options dealing with cookies. Again, set your options to enable cookies.
Click OK until your setting are accepted and you are back looking at your regular browser screen.
It gave me an error message about my credit card! What do I do?
It depends upon the error message that popped up when you tried to login. Either your credit card has expired or has been rejected. In either case you will be taken to the "My Account" page where you can re-enter your credit card number, or enter the updated expiration date, or enter a new credit card number.
